Employer Donation Matching and Volunteering Grants
This is an amazing way to utilize an organization's matching programs. You give and they will match your gift and give too!
Thru Benevity employers like Microsoft, IBM, Samsung, Apple, and EA will match your monetary donation of $1 for $1. So you donate $20, and they will match it, giving us $40 in total!
Employers will also reward us when you volunteer!
If you work for Dell and volunteer for 10 hours they will grant us $150!
Microsoft and Apple will donate $25 per hour you volunteer!
And both programs can be combined!
For an Apple of Microsoft employee - if you volunteer in our concession stand during one show, Microsoft will give us $75! Donate $20 to our amazing program and Microsoft will give us another $20. So 3 hours of your time and a $20 donation actually brings us $115 and helps our concession stand!

Volunteer Opportunities during Shows
These volunteers greet everyone as they walk in.
· Stop by the Ticket Counter and pick up a copy of the auditorium seating chart.
· Make sure a box is out for people to recycle their program if they wish.
· The Auditorium will open approximately 30 minutes before the show starts. A Director, Head of the Student House Crew or Head of Concessions will tell you when you can open the doors. Until that time the doors should remain closed. Boosters do not have a key to these doors, if we get locked out a house crew member will need to run around and open the door from the auditorium side.
· Take a look at their tickets and see if they know where to go, if they don’t an usher should show them to their seats.
· If they don’t have their ticket send them to the Ticket Counter to get a paper ticket.
· Hand out a program to each family- 1 program per family
· When you hear the introductions begin- announce to the lobby that the show is about to start and let the concession stand know.
· Return your seating chart to the Ticket Counter.
· Close the doors once the show begins and take your seat if you have purchased them.
· Stop by the concession stand to see if they need any help.
These volunteers work in the ticket booth before each show, and during intermission.
Or these volunteers can work the entire show.
The volunteers who work the entire show can receive 1 free food or drink item from concessions.
· 1st Performance- Using the list of preorders pull and label bouquets for those who preordered.
· 1st Performance- Bundle up all of the flowers into bouquets of 3 or singles.
· 1st Performance- Set aside Senior Roses & Directors Bouquets- Use the list from Mrs. Painter to pull enough, and add at least 2 extras for any miscounting, or broken roses. And have bouquets ready for the directors (2 for Fall, 3 for Musical) Don’t let these get sold.
· Take 2-3 Vases of unsold flowers to the cashiers.
· 1st Performance-Pull all presold shirts and label them with the patron’s name.
· Give House Crew $10 in singles for change.
· Give the Ticket Takers a copy of the auditorium layout- they will return these as the show starts.
· If sold out- put signage up letting people know
· Using your forms
o If they forgot their ticket
§ Use the list of patrons for that night to find their seat.
§ write them out a blank ticket and write out the seat.
o If you have seats available to sell
§ Use the Box Office layout to see where open seats are and write them out a ticket. Using a highlighter block out the seats and take down their name and the seats for our records.
§ They can pay for the ticket with you or at the concession stand.
· If you know someone isn’t coming and they’d like to resell their ticket- we can’t refund them but we can help them resell it if people come in looking for tickets. Take down the information of the person not coming (name, phone, seats),
o When someone comes in wanting a ticket give them the other persons contact information. And they will need to coordinate between themselves.
o Once they have confirmed the trade you can write out a ticket for the new patron and record their name and the seats.
· When the Ticket Takers tell you that the show will be starting soon take their auditorium layout
· Please tidy up your station, and let the cashiers know you will be heading out. Leave your cash box with them.
· If the concession stand is swamped please consider leaving after it’s quieted down. If it is your 1st or only time seeing the show please do not stay around, go enjoy the show!
· Open the ticket window for concession sales (may want to do Credit Card or Cash line)
· 1 person will take their payment
· The 2nd person should stand in the doorway and call out what is needed. The runner will hand the items to them and then they will pass them to the cashier.
· IF it’s the last show pull the roses for the Seniors & directors.
· Post Show- Stop by the concession stand to see if they need any help.
· These volunteers work in the ticket booth before each show, and during intermission.
· Or these volunteers can work the entire show.
· The volunteers that work the entire show can receive 1 free food or drink item from concessions.
· Make sure the house crew is getting the cooler filled with ice. This can take time so do it first.
· Determine who is going to be doing which job and get your station ready.
o Fridge- stand at the fridge- Make sure the fridge is stocked at all times.
o Popcorn & Chicken- stand by the popcorn machine and constantly have popcorn popped, filled and ready to hand out. Keep the filled popcorn in the machine to keep it warm. Clean up the floor as you go along. (Please help with Flowers/Tickets if needed)
o Candy stand between the cashiers and the candy table, restock from the cabinet as needed. It’s recommended to put the candy in sections ie chocolate, sour, brand name together.
o Chips & Iced Tea- stand between the counter and the candy table. Have the tea already poured and ready to go. Begin filling the iced tea in cups. Using a sharpie write U for unsweet tea or ½ for half cut. Sweet tea is the most popular and doesn’t need to be labeled. The cooler filled with ice should slide under the table or by the sink. Put a towel on the floor near the cooler to quickly mop up slippery areas.
o Floater- if you have enough volunteers. They can help direct people to concessions lines, fill in for someone if they need to go somewhere or fill in for the auctioneer who has to run the auction during intermission.
· Set out spirit gear & merch
o In the ticket booth arrange shirts by size making them easier to grab.
· Display frame to be auctioned off with auction sign attached to it put in the lobby.
· Unload Bush’s. Tea’s go by the fridge, and Tender rolls go by the sink.
· Hang Signage & Decor
o Display Bush’s Chicken Tender Roll Sign
o Put signs outside in the breezeway
o Put price sheet on the counter for patrons and cashiers
o Put any props stored in concessions back out into the lobby.
o Display the frame to be auctioned off with the auction sign attached to it.
· When someone orders something at the counter you grab it and hand it to their cashier.
· When the Ticket Takers tell you that the show will start soon, please tidy up your station and let the cashiers who are staying the entire show know that you will be heading out.
· If the concession stand is swamped please consider leaving after it’s quieted down. If it is your 1st or only time seeing the show please do not stay around, go enjoy the show!
· Stop by the concession stand to see if they need any help.

· Or these volunteers can work the entire show.

· Open the roll top windows
· Turn on the fan
· Put any props stored in concessions back out into the lobby.
· Make sure the auditorium doors are closed before you open the lobby.
· Put price sheet on the counter for patrons and cashiers
· Make sure stickers, flowers, 1 of each drink, popcorn and Bush’s tender rolls are on the counter for families to see. Have 2 production shirts hanging from the roll down. One showing the front, the other showing the back.
· Finances
o 2 nonrelated people count all of the cash boxes and sign off on the cash box form. They must be Booster members and at least one be a Board Member.
o Verify Square, is updated and connected to the internet.
o If they use a concessions card use a hole puncher or sharpie to punch out the amount of lightning bolts they are spending.
· Prop open the doors to allow guests to enter one hour prior to the show starting
· Begin taking orders. The Runners should be listening for the orders and if they are in that station they will get the item and bring it to you.
· When the Ticket Takers tell you that the show will be starting soon, please tidy up your station and let the cashiers who are staying the entire show know that you will be heading out.
· If the concession stand is swamped please consider leaving after it’s quieted down. If it is your 1st or only time seeing the show please do not stay around, go enjoy the show!
· Restock the fridge with drinks, and restock candy and chips
· Get more ice if needed
· Pop more popcorn- big seller during intermission.
· Tidy up the area
· Get $ raised from well wishes from House Crew- on cash box tally write off to the side how much money they gave you.
· Begin taking orders. The Runners should be listening for the orders and if they are in that station they will get the item and bring it to you.
· When the lights flash let the lobby know that the show will be starting soon.
· Write down who won the auction and the amount they won it for on the cash box tally sheet.
· If the concession stand is swamped please consider leaving after it’s quieted down. If it is your 1st or only time seeing the show please do not stay around, go enjoy the show!
· Clean out the popcorn machine. Dump everything out, and wipe down. If it’s the last show wipe it down well and return it to the ticket booth.
· Dump out remaining ice and water from the coolers. Make sure the lids don’t close all the way and the inside mildews.
· Make sure all cast and crew have at least 1 well wish. Make them one if they don’t.
· Take any notes on what would work better last time or worked well this time.
· If there will be another show: stock the fridge
· If there is school the next day or it’s the last show put away all the concession items in the cabinet.
· Very Last Performance - look at the expiration date of the food items- if it will expire before the next show- It needs to go to the snack cabinet in the BB.
· Very Last Performance- inventory what we have on stock so we know what we will need for the next round of shows.
· Very Last Performance - List of anything that needs to be bought/brought before the next show.
· Sell remaining Bush’s Tender Rolls for $1 each.
· Take payment for the auctioned frame, purchaser & their cast/crew member
· 2 people count all the cash boxes and sign off on the cash box form. Both people must be Booster members and at least one must be a board member
· Discuss any changes that need to be made before the next show.
· If there is school the next day take any breakable or small props and store them in concessions
· Use Mrs. Painter’s keys to relock the gates by the cafeteria.
· Return these keys to Mrs. Painter and Mr. McLean after each performance.
· Return the coolers to Bush’s Chicken.
· Stop by the concession stand to see if they need any help.
· Very Last Performance - give away the remaining flowers
· Very Last Performance - bring out the celebratory cake, plates & utensils
· Very Last Performance - Begin clearing the lobby out after the kids have had their cake.
